Based on the Arizona Auditor General’s recommendation, we recently wrote off outstanding UAccess Student balances that were 3 years and older if the student was no longer registered, charges that were less than $100, and accounts that were requested to be written off or determined to be non-collectable. This process is conducted annually prior to the beginning of a new fiscal year.
A report containing all the debts that were written off is located in UAccess Analytics > Student > Financial Accounting > Write Offs.
Debt that has been written off is still owed. The Bursar’s Office is no longer actively collecting the debt (ex. sending bills, placing debt with collection agency, etc.) but a “BWO” service indicator has been placed on the students’ accounts in UAccess Student. This indicator will prevent the students from receiving services (such as transcripts, degrees, registering for classes) until the debt is paid in full. Any monies collected will be applied to the original UAccess Financials account indicated on the charges that were written off.
The department that placed the charges on the account is still responsible for providing back-up documentation for the charges that were written off, if a student questions the validity of the debt. Please keep this in mind before you destroy records. If a student wants proof of his/her charges and the department cannot provide documentation to support the debt, the BWO hold will be released and the debt will not be collected.
