19.72 Time Roster Edit Messages - Deleted 09/28/2009 due to UAccess Employee Implementation

Purpose: To provide reasons and required actions for Time Roster Edit Messages
Policy Owner: Operations - Payroll
Overview: The Time Roster System will validate and perform edits on the data entered on the Time Roster Percent Distribution Screen 45 when the ENTER key is pressed. Edit messages will display at the bottom of the PSOS Command Line and the field requiring action will be highlighted. The Payroll Representative will need to resolve any edit messages as necessary before updating the transaction.

The messages are categorized by: Fatal, Warning and Informational.

Fatal Messages: Scroll down to view messages Fatal messages usually appear when the department has created an add on record on the Time Roster Percent Distribution Screen 45 for an employee who is not updated in the PSOS database. The record will lock in a holding pattern until the Payroll Representative presses the Function key F1 twice to cancel the transaction.

Remember: If a new employee or new position is not updated in PSOS by Friday 5:00 PM of non-pay week, the record cannot be added to the current Time Roster and the hours will have to be reported on a POPR.

A transaction is FATAL when one of the following checks is invalid:

Warning and Informational messages
Data checks of the following information will generate either Warning or Informational messages.

    FRS Account Numbers

    Distribution Percentages equivalent to 100%

    Hours

    Earnings Type

Warning Messages indicate data errors that can be corrected on the Time Roster by the Payroll Representative.

Informational Messages alert the Payroll Representative of a potential Time Roster error and can be corrected on the Time Roster.

Warning Messages
Deleted Record with Hours This message appears when the change flag has been changed to a D (delete) and the hours in the hours field and earnings type (ETP) field were not zeroed out.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the Hours field and enter 0.00 or use the space bar to blank out the hours.
  3. At the ETP field, use the space bar to blank out the earnings type.
  4. Press ENTER to process and validate the transaction.
  5. If the hours were deleted in error and the Change flag has been changed to D, create an add on transaction to report the hours. Refer to Adding on Records
Distribution % not = to 100 This message appears when distribution percentages do not total 100.Positions may be split funded with up to four accounts and the total percentage assigned to each account must add up to 100.

When the payroll job runs the total hours reported for an employee who is paid from more than one account will be split among the accounts according to the percentage assigned to each account.

For example, John Smith is a 50% FTE employee and is appearing with 40 hours on the Time Roster for position 999999. The position is funded from three accounts 123456 at 30%, 123457 at 45%, and 123458 at 25%, percentages total 100. The total number of hours (40 in this example) will be distributed between the three accounts based on the applicable percentages: 12 hours will be distributed to account 123456, 18 hours will be distributed to account 123457 account and 10 hours will be distributed to account 123458.

  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the percent field and enter distribution percentage(s) to equal 100%
  3. Press ENTER to process and validate the transaction.
Earning Type Must be W This message appears when an earning type other than W (work study) is entered on the Time Roster for a work study position.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the Earnings Type (ETP) field and replace the ETP with W (work study)
  3. Press ENTER to process and validate the transaction.
Earning Type W Cannot be Processed This message appears when work study earnings type W is entered for a non-work study position.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the (ETP) Earnings Type field and replace ETP W (Work Study) with R (regular)
  3. Press ENTER to process and validate the transaction.
Earning Type Z Reported for Non-Supplemental Comp Position This message appears when earning type Z (supplemental comp) has been entered for a non-supplemental comp position.

  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the (ETP) Earnings Type field and replace Z with R (regular)
  3. Press ENTER to process and validate the transaction.
Employee Exceeds Accrued Comp Hours This message appears when comp leave hours are reported for a non-exempt employee in excess of his or her available comp time balance.
  1. Tab to the Hours field where the comp time is reported.
  2. Verify the employee's available comp time balance appearing on Time Roster Percent Distribution Screen 45.
  3. Reduce the comp time hours to the available balance.
  4. Report the excess as vacation (V) (if balance available) or report as unpaid time (A). (This is at the discretion of the department).
  5. Press ENTER to process and validate the transaction.
Employee Exceeds Accrued Sick Hours This message appears when sick leave hours are reported for a benefit eligible employee in excess of his or her available sick leave balance.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the Hours field where the sick time is reported.
  3. Verify the employee's available sick leave balance appearing on Time Roster Percent Distribution Screen 45.
  4. Reduce the sick hours to the available balance.
  5. Report the excess as vacation (V) if balance available or report as unpaid time (A). (This is at the discretion of the department).
  6. Press ENTER to process and validate the transaction.
Employee Exceeds Accrued Vacation Hours This message appears when vacation leave hours are reported for a benefit eligible employee in excess of his or her available vacation leave balance.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Verify the employee's available vacation leave balance appearing on Time Roster Percent Distribution Screen 45.
  3. Tab to the Hours field where the vacation is reported.
  4. Reduce the vacation hours to the available balance.
  5. Report the excess as unpaid time (A).
  6. Press ENTER to process and validate the transaction.
Employee Not Eligible for Sick Time This message appears when sick hours are reported for an employee whose employee status is non benefit eligible.
  1. Verify employee status on PSOS Employee Snapshot Screen 03.
  2. Check the Employee Time Record to verify if the employee indicated a leave day. If the employee has requested sick leave and not benefit eligible, zero out the sick hours on the Time Roster.
  3. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  4. Tab to the Hours field where the sick hours are reported and use the space bar to blank out the hours and the earnings type.
  5. Press ENTER to process and validate the transaction.
Employee Not Eligible for Vacation Time This message appears when vacation hours are reported for an employee whose employee status is non benefit eligible.
  1. Verify employee status on PSOS Employee Snapshot Screen 03.
  2. Check the Employee Time Record to verify if the employee indicated a leave day. If the employee has requested vacation leave and not benefit eligible, zero out the hours on the Time Roster.
  3. Update the employee's record in the Time Roster Percent Distribution Screen 45. Tab to the Hours field where the vacation hours are reported and use the space bar to blank out the hours and the earnings type.
  4. Press ENTER to process and validate the transaction.
Entry After Skip of Entry not Possible This message appears when a field is skipped and hours and earnings type are entered on the 2nd field. The message also appears when accounting and percent fields are skipped.
  1. Update the employee record in the Time Roster Percent Distribution Screen 45.
  2. At the 1st hours and earnings type fields, enter the hours and earnings type.
  3. Use the space bar to blank out any duplicate fields thereafter
  4. Press ENTER to process and validate the transaction.
Exempt Emp not Eligible for Comp Time This message appears when comp time hours C or U have been entered for an exempt employee
  1. Verify the FLSA code on PSOS Position Funding Screen 08 located to the right of Job Code to identify whether the employee's position is classified as exempt or non-exempt.
  2. If the employee is coded as N Non-Exempt go to the Time Roster Percent Distribution Screen 45 to update the record.
  3. Tab to the field where the comp time hours are reported and use the space bar to blank out the comp time hours.
  4. At the earnings type field blank out the comp time earnings type.
  5. Press ENTER to process and validate the transaction.
Exempt Emp not Eligible for Overtime This message appears when overtime hours: T, K, or B have been entered for an exempt employee
  1. Verify the FLSA code on PSOS Position Funding Screen 08 to identify whether the employee's position is classified as exempt or non-exempt.
  2. If the employee is coded as N Non-Exempt go to the Time Roster Percent Distribution Screen 45 to update the record.
  3. Tab to the field where the comp time hours are reported and use the space bar to blank out the comp time hours.
  4. At the earnings type field blank out the comp time earnings type.
  5. Press ENTER to process and validate the transaction.
FX Other Time Besides FX Reported This message appears when the department reports FX earnings type code in addition to another paid leave earnings type code.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the field that contains the other type hours
  3. Use the space bar to blank out the hours and the other earnings type.
  4. Press ENTER to process and validate the transaction.
FX Hours Reported for Non-Flex Employee This message appears when the department reports FX earnings type code for a non-flex employee.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the ETP field.
  3. Replace the FX earnings type with the appropriate earnings type.
  4. Press ENTER to process and validate the transaction.
Hours paid Greater than 80 This message appears when hours have been entered for a Salary or Wage employee and the hours reported exceed 80. The system only checks regular type hours and does not include overtime hours in the editing process for greater than 80.
  1. Check the Employee Time Record (ETR) to verify actual number of hours worked each week.
  2. If the employee worked over 40 hours in the work week, determine how the overtime hours should be reported.
  3. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  4. Tab to the next available hours field and enter the total amount of actual hours worked in excess of 40 for each week for both weeks.
  5. Tab to the ETP field and enter the appropriate overtime code at either straight time or at one and a half time.
  6. Press ENTER to process and validate the transaction.
  7. If the hours were reported incorrectly record the number of hours as reported on the ETR.
Invalid Account Number This message appears when an invalid FRS account number has been entered.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the Account field, and enter the correct account number.
  3. Press ENTER to process and validate the transaction.
Invalid Earning Type This message appears when an invalid earnings type is entered.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the ETP field, and enter the correct earning type. Refer to Time Roster for Leave Codes.1973leave.html
  3. Press ENTER to process and validate the transaction.
Missing Account Number This message appears when an account number is not entered in the account field when adding a record.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the Account field, and enter the correct account number.
  3. Press ENTER to process and validate the transaction.
Missing Earning Type This message appears when the earning type field is left blank on the Time Roster when adding a record.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the ETP field.
  3. Enter the appropriate earning type. Refer to Time Roster for Leave Codes.1973leave.html
  4. Press ENTER to process and validate the transaction.
Missing Hours This message appears when you press the ENTER key in a wage record where no hours have been reported.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. If the employee worked hours in the current pay cycle enter the number of hours and/or leave taken in the Hours and ETP fields.
  3. Press ENTER to process and validate the transaction.
  4. If the employee did not work hours in the current pay cycle press the F1 key twice to return you to the PSOS Main Menu.
No Work Study Account for Work Study Position This message appears when the work study account for an employee in a work study position has been zeroed out, ie the department account will be charged 100%
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the Account field, and enter the work study account number. Work Study accounts are: 500530 or 500531 which should be expended at 75% and 500540 which should be expended at 100%. PSOS Position Funding Screen 08 will display the accounts for verification.
  3. Press ENTER to process and validate the transaction.
Probation Employee Exceeds Sick Hours This message appears when sick hours are entered for a probationary employee.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the hours field where sick hours have been reported and reduce the sick hours to the number of sick hours available displaying on this screen.
  3. Press ENTER to process and validate the transaction.
Probation Employee not Eligible for Vacation This message appears when vacation hours are reported for a probationary employee.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the hours field where the vacation hours were reported and use the space bar to blank out the vacation hours
  3. At the ETP field, blank out the V earning type.
  4. Press ENTER to process and validate the transaction.
  5. Note: During University Closure, exceptions to this policy allow for payment of accrued vacation hours to probationary employees.
State Account not on Position Control This message appears when a state account is entered and the account is not updated in Position Control.
  1. Enter 08 at any Choice field in PSOS to access the Position Funding screen. Press ENTER.
  2. Enter the position control number in the Next Position field. Press ENTER.
  3. Review the accounting information in Account Distribution. If the State account does not display, it cannot be used.
  4. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  5. Use the preprinted account number or another non-state account.
  6. Press ENTER to process and validate the transaction.
  7. Once the account has been updated in PSOS, process a Payroll Expense Transfer (PET) to transfer the expense to the state account.
Work Study Account not Applicable This message appears when hours are reported on a work study account for a non work study position.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the Account field and remove the work study account or overlay with another non work study account
  3. At the distribution % field, remove the % or overlay with new distribution %.
  4. Press ENTER to process and validate the transaction.
Work Study Percent Distribution Not = 75% This message appears when the distribution percentage on work study account number(s) 500530 or 500531 is changed from 75% to a different distribution %.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the Percent field and enter 75%. Distribute the remaining 25% among department accounts.
  3. Press ENTER to process and validate the transaction.
Work Study Percent Distribution Not = 100% This message appears when the distribution percentage on work study account 500540 is changed from 100% to a different distribution %.
  1. Update the employee's record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the Percent field and enter 100%.
  3. Press ENTER to process and validate the transaction.
Zero Pay Rate for this Position This message appears when a record is added to the Time Roster and the position does not have a pay rate in PSOS.
  1. While in the Time Roster record, press the F1 key twice to cancel this transaction.
  2. Check PSOS Screen 20, Employment/Compensation History to see if the employee was in a paid status during the current reporting period.
  3. If the employee is owed hours, submit a POPR to Operations immediately.
Fatal Messages
SSN Not on Employee Database This message appears when a record for an employee is added to the Time Roster and does not exist in the PSOS database.
  1. The system reverts back to a blank Time Roster Percent Distribution Screen.
  2. Verify that the employee has been added on PSOS Employee Snapshot Screen 03.
  3. Verify accuracy of employee identification number on the hiring documents submitted to Systems Control.
  4. Check the Systems Control Document Deadline Schedule to confirm that the document processing deadline was met for processing an add on.
  5. After all verifications have been made and you have determined the fatal message is valid, submit a POPR to report the hours to pay the employee on the next scheduled pay date once you have verified that the employee is in PSOS.
Incumbent Not in This Position This message appears when a record is added to the Time Roster for an employee who is in an active status but their new position has not been updated in PSOS
  1. The system reverts back to a blank Time Roster Percent Distribution Screen.
  2. Check PSOS Employee Snapshot Screen 03 to determine if the employee's new position control number has been updated.
  3. Verify accuracy of position control number on the hiring documentation.
  4. Check the Systems Control Document Deadline Schedule to confirm that the document processing deadline was met for processing an add on.
  5. Submit a POPR to report the hours to pay the employee on the next scheduled pay date once you have verified that the employee is in PSOS.
Position Not on Position Database This message appears when a record is added to the Time Roster for an employee who is active with a position control number that is not recorded in the PSOS database.
  1. The system reverts back to a blank Time Roster Percent Distribution Screen.
  2. Check PSOS Employee Snapshot Screen 03 to verify the position control number.
  3. Check the hiring documentation to verify accuracy of position control.
  4. Check the Systems Control Document Deadline Schedule to confirm that the document processing deadline was met for processing an add on.
  5. Submit a POPR to report the hours to pay the employee on the next scheduled pay date once you have verified that the position has been updated in PSOS.
Incumbent Start Date > Pay end Date This message appears when a record is being added for an employee during the current reporting period, but who's hiring documentation has been entered into PSOS with a start date in the future. This usually occurs during July, August and December.
  1. The system reverts back to a blank Time Roster Percent Distribution Screen.
  2. Check PSOS Employee Snapshot Screen 03 to verify the start date of the position.
  3. Check hiring documentation to verify accuracy of the start date.
  4. If the start date is incorrect in PSOS, correct the start date on the PAF. Obtain department head signature and submit to Systems Control.
  5. Submit a POPR to report the hours to pay the employee on the next scheduled pay date once you have verified that the employee has been updated in PSOS.
Pay Will Be on Expired Rate This message appears when a record is added for an employee whose position has been extended but not yet updated in PSOS .

This message also appears when an employee preprints on the Time Roster with his or her old position but from the time the Time Roster printed has been entered into PSOS in their new position and the department attempts to enter hours under the expired position. Refer to Changing Time Roster Information (Changing Position Control Number) for instructions.

  1. The system reverts back to a blank Time Roster Percent Distribution Screen.
  2. Check PSOS Employee Snapshot Screen 03 to verify if the employee's position extension or new position has been updated.
  3. Check hiring documentation to verify the end dates of the position.
  4. Check the Systems Control Document Deadline Schedule to confirm that the document processing deadline was met for processing an add on.
  5. After all the checks have been completed and it is determined that the fatal message is valid, call Operations for instructions on submitting a POPR for payment for the next scheduled pay date.
Unable to Process Earning Type SB (Sick Bonus) This message appears if the department attempts to enter the SB earnings type code in the ETP field of the Time Roster screen. The Retiree Accumulated Sick Leave payment cannot be paid through the Time Roster.
  1. The system reverts back to a blank Time Roster Percent Distribution Screen.
  2. To request payment of the Retiree Accumulated Sick Leave Program , the retiree must complete a Retiree Accumulated Sick Leave Request form and forward to Human Resources. The Retiree Accumulated Sick Leave Request form is available in the UA HR Forms Page.
Unable to Change Academic Summer Hours This message appears when the department attempts to change hard coded hours and the earning type to another type of earning type.
  1. Hours and earnings type for an academic summer 10/12 month employee cannot be modified.
  2. The system reverts back to a blank Time Roster Percent Distribution Screen.
  3. If the employee has terminated go back into the Time Roster Percent Distribution Screen and zero out the hours and using the space bar, blank out the earnings type.
  4. Contact Human Resources to notify of termination of a 10/12 month pay employee.
Unable to Change Deceased Hours This message appears when the department attempts to change a hard coded hours and the earning type to another type of earning type. Hours and the earnings type cannot be modified for a deceased employee.
  1. The system reverts back to a blank Time Roster Percent Distribution Screen.
  2. Contact Operations for instructions on how to pay a deceased employee.
Informational Messages
FRS Account is Frozen This message appears when the department enters a frozen FRS account number.
  1. Update the employee record in the Time Roster Percent Distribution Screen 45.
  2. Tab to the account field and enter a valid FRS account number.
  3. Press ENTER to process and validate the transaction.
Hours Reported for Terminated Employee This message appears when hours have been entered for an employee who is terminated in PSOS.
  1. Update the employee record in the Time Roster Percent Distribution Screen 45.
  2. Enter only the hours worked through the termination effective date.
  3. Press ENTER to process and validate the transaction.
  4. Prepare a Termination Report in Information Services Web ISW which will create the Termination POPR for vacation and/or comp time balances.
New Record Already Exists This message appears when a new record has been added to the Time Roster file and the department is attempting to add the same record twice.
  1. Check for duplication of the record by entering the EID of the employee at the PSOS Command line. Press ENTER.
  2. The SSN/PCN Paging Menu appears listing employees with the EIN you have entered. If the record appears twice with the same position control number, enter the number selection of the EIN and Press ENTER.
  3. Update the employee record in the Time Roster Percent Distribution Screen 45.
  4. With the Action field set to U (update) zero out the hours and earnings type. Tab to the Change Flag field and enter D (delete).
  5. Press ENTER to process and validate the transaction.
No Regular Hours Paid This message appears when non regular hours are reported. Earnings type codes D, E, P, should generate this message No Action is Required
Regular Hours Not = To Plan This message appears when hours are entered for a Salary record which are less than the plan hours.
  1. Check the Employee Time Record to verify actual number of hours worked in the pay period.
  2. Update the employee record in the Time Roster Percent Distribution Screen 45.
  3. Tab to the Hours field and modify the hours if the hours were reported incorrectly.
  4. If there is unpaid time, tab to next available hours field and enter the unpaid number of hours to equal the employee's FTE.
  5. At ETP enter earnings type (A) Approved Unpaid Absence.
  6. Press ENTER to process and validate the transaction.
Salaried Hours Zeroed Out This message appears when hours have been zeroed out and the Change Flag field has not been changed to D.
  1. If hours are to be deleted from the Time Roster, tab to the Change Flag field of the Time Roster Percent Distribution Screen 45 and enter uppercase D Delete.
  2. Press ENTER to process and validate the transaction.
  3. If hours were incorrectly zeroed on the Time Roster Percent Distribution Screen press the F3 Function key to return to the 1st update field.
  4. Tab to the Hours field and enter the hours.
  5. At ETP field, enter the earnings type.
  6. Press ENTER to process and validate the transaction.
Table Look up This message appears when the Caps Lock is not set in the On position and while in update in the Batch Authorization Screen you answer Y yes in lowercase.
  1. Reset the Caps Lock into the On position.
  2. Enter Y in uppercase.
  3. Press ENTER.
Read Write/Update Encountered This message appears if two persons are in the same record at the same time in update value.
  1. Call Operations for instructions.
This Record is A Batch Record This message appears when you enter a verification number that is not an assigned number or may appear while you were in a record in update and were logged out by the system.
  1. Check the verification number on the current Time Roster worksheet and reenter the number at verif field of the PSOS Command line or,
  2. Log out to Welcome Menu and select Terminate Other Processes option. Answer Y at prompt and return to your time roster. This may take up to a 2 hours to clear.
