16.55 FRS Fixed Assets (FFX) Screens

Purpose:	This section provides procedures for the use of the on-line fixed asset system, FFX, for monitoring and updating the status of University property. If you have questions regarding the status of an asset, contact the Capital Finance. To receive access to FRS, complete a Request for FRS Access form.

To Access Information:	Log into FRS. Enter the screen you want to go to in the SCR: field, TAB to the ASSET: field, enter the 7 digit property tag number and press ENTER.

Following is a short description of the information you can find on each screen. For more detailed information about a specific screen, click on the screen name.

Screen	Purpose
502, Purchasing/Vendor Data	Summarizes purchasing and vendor data for the asset.
503, Property Control Data	Displays miscellaneous information for the asset.
504, Owner/Location Data	Displays custodial and locational information for the asset.
508, Property Management Notes	Displays notes created by Property Management.
523, Transaction Inquiry	Displays the history of changes made to an asset.
531, Asset Snapshot	Displays asset disposal data.
535, Department Inventory	Enter/Change department reference, inventory unit, availability, condition, model number, serial number, inventory date and location information.
536, Maintenance Data	Enter/change maintenance contract information.
538, Departmental Notes	Enter any comments regarding the asset.
539(1), Departmental Selection Query List (Part 1)	Use to search for assets that meet specific criteria.
539(2), Departmental Selection Query List (Part 2)	Lists the assets that met the criteria specified on screen 539, part 1.
