1. FRS Close Completed - Audit is Beginning

We want to thank everyone for getting their Fixed Assets physical inventory reports in on time and submitting invoices, RFAAs, PETs, deposits and all the other paperwork used to create the Universitys' Annual Financial Report in a timely manner. It takes everyone to prepare the Universitys' Annual Financial Report and we appreciate your assistance!

With year-end close activities complete, preparations are underway for the arrival of the State Auditors to perform the Fiscal Year 2004/2005audit. Fund Accountants are compiling Audit folders and reports necessary for the production of the University's FY 04/05 Annual
Financial Report.

2. New Student Orientation

During June and July the Bursar's Office and CatCard participated in 10 Freshmen Orientations where they provided 5025 freshmen with their University ID - the CatCard. Members of the CatCard office also traveled to Chicago to participate in an orientation held for students on the East Coast who will be attending Arizona in the fall.

One more orientation will be held when the students arrive and the CatCard Office is expecting to card over 600 students.  In FY 2004/2005, they carded 5753 students, not including the students who were carded during Orientation.

3. Business Community Open Forum

The Business Community Open Forum held July 21st was attended by about 100 people. After the panelists updates, we gathered information from the participants regarding Business Challenges - each group was asked to think back to when they first arrived; or, about the experiences of new people they have observed:
o What was hard to understand?
o What parts of the job were most difficult?
o What documents/processes gave you the most trouble?
o Was there information you needed but couldn't access?
o What kind of training would have been helpful?

The top items from individual groups were reported out to everyone. The information captured from each group will be used to look for processes that can be improved, an understanding of the kinds of information that new employees are looking for, an FAQ page and future Open Forum topics.

4. Org Charts Added to the Biz.Comm Website

One of the outcomes of the July Open Forum was a request for Org Charts. Most groups indicated that understanding how the University and various admin units are structured would be beneficial. We have added a link called Org Charts to the Biz.Comm website and have started populating it with Org Charts that we have been able to locate. If you would like to have additional ones added, please send us the web site location.

5. Administrative Service Charge

As announced by President Likins in Financial Planning Bulletin #41, the administrative service charge for fiscal year 2005 - 2006 will be 6.5%.

6. Employee Reimbursements Deposited More Frequently

FSO and CCIT are pleased to announce that expense reimbursements will be deposited into employee bank accounts more frequently starting July 26th.

In order to have reimbursements deposited into your bank account, you must be enrolled in Direct Deposit. Notification of expense reimbursements will be sent via email to the email address stored in Employee Link. Employees that are not enrolled in direct deposit will
continue to receive their reimbursements biweekly in their paycheck.

7. Kuali Project Update

  • The SME groups for release 1 modules and in process release 2 modules are meeting on a weekly or biweekly basis.
     

  • The Functional Council and the Kuali Research Administration lead SMEs are meeting in Phoenix - Aug 1st - 3rd.
     

  • Transaction Processing eDoc specification and development is well underway. Testing and validation will be distributed to the partner schools.
     

  • OneStart(c) Workflow 2.0 is scheduled to be released late August. CCIT is providing resources to FSO to install uPortal and Workflow.
