1. Business Community Open Forum
- Due to scheduling conflicts, the April 20th Business
Community Open Forum has been cancelled. The next Business
Community Open Forum will be held on May 24th, 1:00-3:00,
Student Union Gallagher Theater and the topic will be
Training. The panelists will review their role in training,
training offered by their areas, their expectations of the
campus community re: training and any area updates.

2. Employee Link - What's
New?
Printable 1042S - The 2004 Form 1042-S is now available on
Employee Link in a printable format that can be filed with
both the federal and the state income tax returns. A Form
1042-S is received by international individuals who are
exempt under federal tax treaties, with their home country,
who can qualify for the exemptions by receiving funds from
the University in three ways, by being an employee,
independent contractor, or student receiving reportable
Financial Aid.

Users with departmental time roster access can update the
employee email addresses in their department.

3. Staff Excellence
Awards - FSO is happy to announce it's award winning
staff. Walter Buchanan, Office Supervisor in FSO's
Administration and Customer Service Department was a
recipient of this year's Employee Award for Excellence, and
the CatCard Services staff received a Team award for
Excellence. FSO is fortunate and proud to have employees
like Walter and the CatCard Services Team represent them.

4. Fixed Assets Inventory
Reminder - The completed Fixed Assets inventory sheets
are due to Property Management the week of May 16th.
The University's biennial physical inventory is underway
and must be completed (taken and keyed into FFX) by this
fiscal year end (June 30, 2005) to coincide with the
issuance of the University's financial statements. Property
Management will also be doing on site verifications on
selected fixed asset inventory items. If you have any

5. The Kuali Project
Subject Matter Experts (SME) - The NetMeetings finished
April 12th and it's time to start working on the conversion
of the existing FIS modules to Kuali. Volunteers are needed
for the base modules: Chart of Accounts, General Ledger,
Transaction Processing, Workflow/Routing and a release 2
module - AP/Purchasing. To volunteer send an email to

Kuali Design Critique - The Functional Council participated
in a design critique session to get a taste of the IU
Usability process conducted by IU's User Experience Group.
Getting real user feedback will be discussed at the
Functional Council meeting at the end of April.

The Kuali Project receives Andrew W. Mellon Grant - The
Andrew W. Mellon foundation approved the proposed 2.5
million dollar grant for the Kuali project.

6. Oracle Payroll Evaluation
April 7th - The Oracle Conference Room Pilot finished two
days of training and two days of simulating 2 UA payrolls
with the Oracle Payroll module, including creating data
files to feed into FRS. Final testing of the payrolls, year
end processing (W2s) and reports will be completed this
week. The team has met with the various testers (FSO and
CCIT) in order to complete their final recommendation due
April 29th to be delivered to FSO's executive staff May
12th.

7. FSO Compliance Program in
the Planning Stages
Operations and Financial Management have begun working on
an FSO Compliance Program that will consist of three areas:
1. Post Transaction Review (Transactions below a specified
dollar are processed without review and a sampling is
reviewed to ensure compliance.)
2. Intern Compliance Program (Specified transactions are
sampled by students (interns) for testing, inquiry and
follow-up/training.)
3. Sarbanes Oxley (SOX) Compliance (Reviews conducted at
the administrative level, concentrating on the overall
control environment.)

8. New Cash Handling Procedure when
currency and/or coin is received in US mail
When currency and/or coin is received in US mail, a second
staff member should be asked immediately to verify the
funds received in the envelope.

9. Bank of America converting eStore
credit card processing to CyberSource
All departments currently participating in Bank of
America's eStore program will need to start the conversion
to the Cybersource product by May 18th in order to have a
full cycle of testing before June 30, 2005 when the current
eStore service will no longer be available. Contact Nancy
